Complete, Customized Patient Notes in Record Time

Updated over a week ago

πŸ‘‹ Welcome to Templates!

Templates transform how you create patient notes. Record your voice notes, and Manta organizes everything into your preferred format automatically.

πŸ€– AI Template Builder

Build fully customized templates in under a minute. The AI Template Builder helps you create, modify, or import templates through simple conversation, no technical setup required.

How to Access: When you click "New Template" in your Templates tab, the AI Template Builder automatically appears in the left sidebar, ready to help you build.

πŸ” Three Ways to Build Templates

1. Create from Scratch

Chat with the AI Assistant to build exactly what you need:

  • "Build me a dental procedure template with pre-op, procedure, and post-op sections"

  • "Create a wellness exam template for geriatric dogs"

  • "I need a surgery template with anesthesia monitoring"

The AI Assistant asks clarifying questions and builds your template structure instantly.

2. Modify Existing Templates

Start with Manta's pre-loaded templates or your own, then customize:

  • "Add a pain score section to my SOAP template"

  • "Include a separate client communication section"

  • "Add fields for specific diagnostic tests"

Make changes through conversation - the AI updates your template in real-time.

3. Import Your Current Templates

Already have templates in your PIMS or documents? Bring them into Manta:

  • Upload a PDF or image of your current template

  • Paste text directly from your PIMS or Word document

  • AI converts it to Manta format with proper structure and variables

Your existing templates, now powered by Manta's automation.

⚑ Try It Yourself (2 minutes)

  1. Click "New Template" in your Templates tab

  2. Tell the AI Assistant what you need: "Create a SOAP template for my practice"

  3. Review the generated template - sections, variables, and all

  4. Make any adjustments by chatting with the AI

  5. Save and use on your next patient recording

Your custom template is ready to use!

πŸ“‹ Understanding Template Structure

Templates use a simple system to organize your documentation:

Sections How you organize your template. These can follow the traditional SOAP format or any structure you prefer (like "Findings" β†’ "Conclusions" β†’ "Recommendations"). You can create as many sections as you want!

Section Body The bulk of your template. Use square brackets [] to indicate where information should populate. Manta replaces the [brackets] with content from your voice recordings. Add as much context or instructions within the [brackets] as you'd like.

Examples:

Temperature: [patient's temperature] Β°F

Weight: [patient's weight] lbs

Eyes: [findings on patient's eyes OR "Not mentioned" if not mentioned]

F/A/S: [Fear/Anxiety/Stress score formatted as X/5 or "0/5" if not mentioned]

Diagnostics: [List any diagnostics performed OR "No diagnostics performed yet." Then include recommended diagnostics with detailed explanations for why each test is needed, including what conditions you're ruling out and how each test will guide treatment decisions]

[If allergies are mentioned, include "Today, we discussed that your pet’s itching is most likely due to allergies. In dogs, allergies are most often due to fleas, food, or the environment (pollens, molds, dander, etc.). Allergic dogs will often chew excessively at the base of the tail, constantly lick at the paws, and may have frequent ear infections. Dogs may develop allergies at any point in life." or "" if not mentioned]

The AI Builder handles this automatically: it creates the sections and sets up variables based on what you describe.

🎯 Working with the AI Builder

Be As Specific As Possible:

  • βœ… "Create a dental cleaning template with pre-op bloodwork, anesthesia monitoring, procedure notes, and recovery"

  • ❌ "Make me a dental template"

Describe Your Workflow:

  • "I always document vital signs at the start, then physical exam by body system"

  • "Include a section for client questions and my responses"

  • "I need separate areas for assessment and treatment plan"

Upload Complete Templates:

  • Use clear, readable PDFs or images

  • Include all sections you want to preserve

  • The AI will ask if you want to modify anything after import

Iterate and Refine:

  • Ask for changes: "Add more detail to the diagnostic section"

  • Request additions: "Include a field for body condition score"

  • Simplify: "Make the physical exam section less detailed"

✨ Multiple Recordings, One Note

Record at different times, generate one complete note.

  • Morning: Record vitals during initial exam

  • Midday: Add diagnostic findings and observations

  • Afternoon: Include treatment plans and recommendations

  • End-of-day: Generate a complete formatted note with one click

Templates maintain structure across all your recordings, creating comprehensive notes from throughout the day.

πŸ’‘ Tips for Building Better Templates

  1. Start Simple: Build basic templates first, then add complexity as you get comfortable with the system.

  2. Use Your Existing Templates: Upload what you already use: don't reinvent the wheel. The AI converts them perfectly.

  3. Think About Your Voice Notes: Design templates around how you naturally speak and document cases.

  4. Test and Iterate: Try your template on a recording, then refine based on the results.

  5. Consider Your Team: If sharing templates, build them to work for multiple veterinarians' styles.

❓ Common Questions

Can I still create templates manually without the AI?

Yes, but the AI Builder is built into the creation flow to make it faster and easier. Most users find the AI Builder saves significant time.

What if the AI doesn't understand what I want?

The AI asks clarifying questions. Be specific, and you can always make manual edits after the initial build.

Can I edit templates after creating them with AI?

Absolutely! Use the AI Builder to make conversational edits anytime, or edit the template directly.

Will my imported template look exactly the same?

The AI converts your template to Manta's format with square bracket variables. The content and structure remain the same, just optimized for voice recording.

How do I know if my template is working?

Test it! Create a voice recording, assign it to a patient with that template, and generate the note. Refine based on results.
